IOCP User Groups
 
IOCP is pleased to offer another way to bring members together without the need to travel. If you are seeking to more easily collaborate and network with other IOCP members, then the IOCP user group option may fit your need.

Overview  

IOCP members have the opportunity to belong to one or more user groups through the online IOCP member community. Only end-user members can initiate and manage a user group, but belonging to such a group is open to all members. User groups are sub-groups of IOCP members who share something in common; for example, a user group may be comprised of members from the same organization, industry or geographical region. A user group could also be formed based on members who share a common platform or topical interest; for example, users of the same ERP system (who want to connect with others to optimize ERP system-related processes) or members who manage Travel Card programs (who want to discuss the related challenges).

Benefits
Forming a user group through IOCP offers a variety of benefits, many of which are similar to those available to IOCP members at large. However, a user group has its own exclusive corner of the IOCP website through which to network, exchange ideas, share documents and conduct business. Tired of relying on e-mail for these pursuits? Description

Group calendar

To track upcoming group meetings, conference calls, key dates/deadlines, etc.

Group blog

Functions like IOCP's eNetworking tool for members; allows user group members to have a simple online exchange of questions and answers

Group forum

Similar to group blog functionality, but more complex, allowing many different layers and discussion threads; best-suited for ongoing discussions on particular topics for which someone is not seeking a quick solution to a problem

Group Web pages

Custom group pages can be used for things like documenting meeting minutes and creating educational content (with the option of allowing group member contributions—like a wiki—for online collaboration)

Group directory

Reflects only the profiles of group members and supports networking.

Messaging

 

Facilitates communications among group members without having to use members' work (or home) e-mail—keeping user group activity separate—and offers message retention capabilities (similar to e-mail folders)

 
Once a user group is created, group members will have access to additional details about the features.
 
User Group Members and Roles
The requester of a new user group is considered the group organizer, specifying one or more IOCP members (during the request process) to be added to the user group. An individual must be an IOCP member to join a user group and only end-user members are permitted to form and manage such a group. (To learn about membership or become a member, click here.)
 
The group organizer usually assumes the role of group admin to manage the online user group features and functionality through a special menu within the group's home page. (Each user group has its own private group home page within the IOCP website.) However, the group admin role can be assigned to an end-user group member other than the group organizer. The admin role includes responsibilities such as:
  • managing the group calendar
  • enabling/disabling accessibility/controls for group blogs, forums, custom Web pages, etc.
  • creating custom Web pages
  • adding new group members
IOCP will provide more information and instructions to the group admin about this role. In addition, an IOCP staff member is always assigned the group admin role to assist with group features, as needed, and monitor group activity.
 
Joining a User Group
Generally speaking, as noted above, one IOCP end-user member takes the lead (becomes a group organizer) and identifies other members that he or she would like to include within a user group. As part of the group creation process, these members would receive an e-mail notice from IOCP that they have been added to a particular user group at the request of the group organizer. A member can opt out of the user group at any time. In addition, more members can be added to a user group (by the group admin) post-group creation.
 
Most user groups, especially those unique to a particular company, are hidden in that they are not visible to other IOCP members within the IOCP website. However, some user groups may be open for a member to request to join. Click here to review groups that are accepting such requests. 
 
Only the members of a user group will be able to access the user group. By joining a user group, a member agrees to abide by IOCP Terms of Use.
 
Organizing/Requesting a User Group

For best results, an end-user member interested in forming a user group (i.e., the group organizer) should identify the following prior to submitting a request to IOCP:

  • the basis of the user group (per the overview above, a user group is usually based on at least one commonality that all group members share, such as geographic location)
  • purpose of the user group (why the user group is desired)
  • other IOCP members who would be appropriate to add to the user group (the group organizer may wish to contact and confirm the interest of other members first before requesting a user group through IOCP)
To create a user group, submit a written request to IOCP using the form below. IOCP will evaluate the request, contacting you within two weeks about the next steps. Please note that IOCP reserves the right to decline a user group request if it could violate IOCP Terms of Use, its Privacy Policy and/or in any way interfere with IOCP's mission and goals. 
 
Once set up, group members will be able to access the user group through the Groups link within My Profile (leads to My Groups webpage). The user group home page will offer a link to additional instructions about the user group features.
