Speakers, prepare for the conference

Guidance and Instructions for Provider Speakers

We've created the following critical information to assist you as you prepare your conference presentation. Please read everything carefully and contact us if you have any questions.

 by December 2 -First early incentive to turn in your completed session template(s) to be included in two emails dedicated to provider participation

 by January 6 -Second early incentive to turn in your completed session template(s) to be included in an email dedicated to provider participation
 February 10 -Final deadline to turn in your completed session template(s) and speaker photo(s)
 March 17 -PPT presentation due for review and approval
-PPT or contact us slide/PDF due: Required for attendees looking for more information from your session
-Complimentary registration list due
 March 31 -Deadline for complimentary registration
-Last day for regular registration rates

  • Breakout sessions are 45 minutes in length unless otherwise determined, featuring a speaker-led presentation and allowing time for Q&A.
  • Partner Sponsor Educational session
    • Content must be educational and not sales oriented
    • Open to all registered conference attendees
    • The use of the IOCP PPT template is required
    • Do not change the size of the slides or the template design because it will disrupt the projection equipment and the quality of your presentation

  • Provider session
    • Content can be a demo about your product/technology and/or educational
    • Open to end-users only; unless indicated differently by the sponsor
    • You can use your own PPT template, but you must include our conference logo on the title page and in the footer of each subsequent slide

  • Presenters agree to not violate copyrights, ensuring appropriate usage of copyrighted material.
  • The schedule will be available online around early March.
  • Roundtable discussions are small group discussions held simultaneously on Wednesday, April 29, from 2:00 to 3:00 p.m.; IOCP will encourage attendees to switch topics halfway through.
  • As a sponsor, you will facilitate and lead the conversations at your table.
  • Topic(s) and subtopics can consist of the industry's latest topics, including solutions and brainstorming today's challenges.
  • It is IOCP’s practice to make session presentations available in PDF format to conference attendees via the conference app and online for a limited time during and after the conference.
  • If you choose not to share your presentation(s), then a slide with contact information is requested.
  • Presenters and attendees are prohibited from making sales pitches, sharing pricing, revenue-share, rebate or refund information, and conveying negative written or verbal comments about other organizations and/or products.
  • Abide by the code of contact found in our Terms of Use.
  • Internet and sound will not be provided. Institute of Commercial Payments will provide:
    • a wireless lavaliere microphone
    • a handheld microphone (intended to facilitate Q&A)
    • an LCD projector (connected to the laptop) and screen
    • an HDMI/USB-C connection; if you do not have either of these connections on your laptop, you must bring a dongle
  • A session host will be assigned to each breakout room to:
    • introduce the speaker if the speaker desires
    • keep track of time
    • help address any inappropriate remarks that violate antitrust laws
    • facilitate the distribution of a handheld microphone for audience Q&A
    • report any room issues to IOCP staff
    • notify on-site professional audiovisual staff if any issues arise
  • Every speaker is required to register for the conference. Speakers must complete their registration by March 31, 2026. Reach out to your organization's primary conference liaison for pass assignments.
  • For session scheduling purposes, Institute of Commercial Payments asks that each speaker make travel arrangements to accommodate presentation delivery at any time during the conference, beginning as early as 11:45 a.m. on April 28 and as late as 5:00 p.m. on April 29. If you make travel arrangements that do not allow you to present during those times, IOCP has the right to cancel your presentation and speaker pass.
  • Our room block rate of $259/night (plus taxes and fees) at The Scottsdale Resort and Spa is available until March 31, 2026. Hotel information is available here.
  • Conference speakers receive three (3) points for attending and one (1) additional point for speaking toward CPCP certification or recertification.
  • Speaker and Session Orientation:
    • Monday, April 27, 2:45-3:15 p.m. in Maricopa I
    • Attend for helpful information to prepare you for your session
  • Schedule time to go through a dry run of your presentation and ensure your laptop and presentation work properly.
  • Dry-runs will not have an IOCP representative there to assist, unless requested in advance or contacted onsite.

  • Post on social media accounts. (You will receive a personalized graphic from Institute of Commercial Payments to post on your LinkedIn feed.) We are proud of you, so share the love!

  • Session evaluations will be provided to your organization's liaison within 30 days of the event.
  • Institute of Commercial Payments reserves the right to make changes in programs and speakers or to cancel programs if enrollment criteria are not met or when conditions beyond its control prevail.
  • Institute of Commercial Payments will conduct the Annual Conference as it is commercially practical. IOCP reserves the right to change the conference to a virtual setting should the need arise.
  • If the conference is not held in person for any reason, Institute of Commercial Payments will transfer your registration to the virtual event if you agree to record your presentation for use at the virtual conference.
